Email ManagementPossibly the biggest source of frustration of the modern workplace, both responding to and managing email consumes much time and effort.
Again, think carefully before sending an email - is it really necessary to send an acknowledgement of receipt? Could you communicate faster on the telephone or in person, especially within the same office? Does everyone on a group list need to receive this information?
When you store emails, are they easy to find? Do they take up too much space? Your Outlook file has limits set as follows:
- at 50Mb you will get warnings that your inbox is becoming full,
- at 60Mb you will not be able to send email, and
- at 70Mb your account will effectively be frozen.
These sizes refer to the combined amount of data in Outlook, not just the email inbox - storing attachments in a calendar will not get around this!
Allied to the sheer volume of email are the security issues posed by emails from outside the organisation: virus, spam and phishing attacks.
Microsoft Outlook has a few useful tools to help you deal with this torrent of information.
- You can easily create folders to store related emails inside Outlook
- You can set up rules which automatically process emails according to keywords or sender information
