Sharing InformationYou are often required to send colleagues documents for approval, to fill in and return or for reference. In many cases these are sent as attachments to emails. Unfortunately this can lead to unnecessary duplication, excessive network traffic and inefficiency.
Avoiding Attachments
Think carefully before you send anyone an attachment. If it is a reference document or being sent for approval, then you do not need to physically send it across the network. There are three alternatives available to you:
- If the document is on the CIS, place a hyperlink to it in your email, and again encourage the recipient not to save it locally, but add it to Internet Explorer favorites.
- If the document resides on a shared drive to which all of your recipients have access, then either tell them where to find it or place a file link in your email and encourage the recipients to look at the document but not to save it locally.
- Post an attachment or link in the sharepoint public folder
